About the Role
The Volunteer Event Coordinator is responsible for planning, organizing, and executing CGA's quarterly virtual events, including the CMMC Grant Summit series. This role involves identifying and securing sponsors, recruiting speakers, managing event logistics, and building repeatable processes that CGA can scale over time. You will report directly to the Executive Director and have real ownership over how events come together.
This is an ideal opportunity for a high school student looking for hands-on marketing, event planning, and nonprofit experience, or for someone early in the GRC (governance, risk, and compliance) space who wants to build their network and credibility in the CMMC ecosystem. You do not need prior experience in cybersecurity or compliance. We will teach you what you need to know.
Responsibilities
What You'll Do
Event Planning and Execution
- Coordinate all logistics for CGA's quarterly virtual events (one event every three months)
- Develop and maintain the event planning timeline, checklist, and runbook
- Manage event platform setup, registration pages, and attendee communications
- Support day-of event operations including tech checks, speaker coordination, and attendee engagement
- Conduct post-event debriefs and compile feedback for continuous improvement
Sponsorship Outreach
- Research and identify potential sponsors, with a focus on GRC platform providers and C3PAOs
- Draft and send sponsorship outreach emails using CGA templates and messaging
- Track sponsor conversations, follow-ups, and commitments in a shared tracker
- Assist in onboarding confirmed sponsors (collecting logos, coordinating content, managing deliverables)
Speaker Recruitment and Coordination
- Identify and reach out to potential speakers, including MEP representatives, C3PAOs, and compliance professionals
- Coordinate speaker schedules, topics, and presentation materials
- Manage speaker communications and ensure timely submission of content
Process Building and Documentation
- Build and document repeatable event processes, templates, and standard operating procedures
- Create a sponsorship outreach playbook that future volunteers or staff can follow
- Develop event planning checklists, email templates, and tracking systems
- Report progress, metrics, and recommendations to the Executive Director on a regular basis
Marketing Support
- Assist with social media posts and promotional content for upcoming events
- Help draft email campaigns to drive event registration and awareness
- Support website updates related to event pages and speaker announcements

Requirements
What We're Looking For
- Strong written communication skills
- Organized and detail-oriented, able to manage multiple tasks and deadlines
- Comfortable with email, Google Workspace or Microsoft Office, and virtual meeting platforms (Zoom, Teams)
- Self-motivated and able to work independently with minimal supervision
- Reliable and able to commit to a consistent schedule of 5 to 10 hours per month
- Willingness to sign CGA's Volunteer Agreement, which includes confidentiality and non-solicitation provisions
No prior experience in cybersecurity, CMMC, or event planning is required. We will provide the training and context you need to succeed.
